What is KPI?

The last project I’ve been working on showed me one of the most crucialmistakes a specialist can make. I worked a lot, giving it all I could. In theend, my results were insignificant. Why? Because I didn’t have a set to workefficiently. I didn’t have specific goals. I worked with a motto: to dowhatever I can do. The experience speaks that I needed to take an oppositeapproach: “What goals do I want to achieve and what I have to do in order toachieve them?”

Planning is Everything

Plan every period of your life: a year, a month, a week, and a day.Obviously, overplanning never yields efficient results. The plan must serve thepurpose and be an efficient instrument.

THINK, WHAT GOALS YOU WANT TO ACHIEVE IN A CERTAIN AMOUNT OF TIME!

It is very important to have your goals in numbers: an amount of buyers,sells, transactions, visits, and shipping. An average amount of a check, tons,square meters, and kWh – whatever you can measure within your occupation. Put it in the tables. Think of what numbers you can reach in the nearest future.

Keep the Goals in Your Head!

When you start any activity whether it’s forming a business proposition,planning you’re your business strategy, or thinking through the upcomingmeeting with a client, think of how well this activity will serve your goals.Put aside your personal preferences in your work. It happens that someactivities we like and ignore less attractive, but more significant, tasks. Bejust. Keep your goals in front of you and manage your time correctly, dependingon the significance of the goals. If something thrills you and allows toachieve the better results, go for it in the first place!

Develop Your Own KPI

KPI means Key Performance Indicators. You can read it as it is. They are important to measure the results. The results themselves should not be measured by our subjective feelings (“I did that well” or “this didn’t turn out as wellas I expected”). A clear system of parameters (often referred to as metrics)will show you immediately when you truly did well and when badly.

Let’s Get to Examples

As an example we will use an online-store.

Metric is a measurement of a process. In our example this process is theamount of sells in a fixed period of time.

The KPI is a metric, but it doesn’t just show the numbers, it reveals theefficiency of our activities. The KPI will allow you to understand how closeyou are to your goal and in our example this measurement is a percentage of the planned amount.

YOU SHOULD DETERMINE YOURSELF THE METRICS AND KPI DEPENDING ON YOUR OCCUPATION

To create a correct KPI, look up on the internet, there definitely will be some examples for your domain, something that will be enough to push you in theright direction. You can read some books about management and KPI – takes moretime, but yields better results. The simplest way is to find the most important metrics for your job yourself.

Track the Dynamic

The metrics and KPI are dynamic parameters and you should look at themconstantly. The easiest way: create a table in MS Excel and keep track of yourresults in fixed periods of time (a day, a week, or a month). Such analysiswill help you to understand how exactly your efficiency changes with the time.It will show whether you becoming more efficient.

Why Is It Important to Track Your Results?

Here is a renown quote often referred to be from Steve Jobs: “Don’t work afull day, work with your head!” To any company you will work for the amount ofeffort you put in your work doesn’t matter. You work hard the whole day andnever fool around? Good, but not important.

THE RESULTS ARE IMPORTANT. THE RESULTS ONLY WILL MEASURE YOUR EFFICIENCY.THIS IS HOW YOUR EMPLOYER WILL JUDGE YOU. DEPENDING ON YOUR RESULTS, THEEMPLOYER WILL DETERMINE YOUR SALARY. THE RESULTS WILL BE TAKEN INTOCONSIDERATION WHEN THE MANAGEMENT WILL DECIDE WHETHER TO KEEP YOU, TO FIRE YOU,OR TO MOVE YOU UP ON THE CAREER LADDER.

Is Everything Measureable?

It seems that not every domain can be measured in numbers. In reality,there are metrics, you just need to find them. For example, let’s take a very creative domain. A painter made a painting. Can we measure this product? If itwas demonstrated at an art exhibition, count how many people walked to it. This is a metric. Put a box for donations near the picture and ask people to leave money if they liked the painting. The more money your get, the better theproduct is. This is another metric. Do the same things for two different paintings and you will immediately see which one is more “efficient”. Finally, sell it on the auction. The final price will also be a metric.

Plan and evaluate your results – this is the basis for your professional career!
